Venue policies

Make sure your exhibitors are aware of the policies, procedures and code of conduct specific to the venue.

Animals

The wellbeing of our visitors is important to us. This is critical information for visitors with registered guide and assistance dogs and personal support animals.  

Excel welcomes all registered guide and assistance dogs. In order to support those wishing to bring personal support animals to the venue, we ask that they contact the organiser directly in advance, via email, copying in info@excel.london.  

Please be aware that welfare facilities for support animals are not available onsite.  Every owner is responsible for the action of their animal, which will need to be kept under control, on a lead, harness, or in a pet carrier at all times.  

During the stand build-up and breakdown period, no animals will be allowed on-site if it is deemed unsafe.  

 

Code of Conduct

There are standards that exhibitors must adhere to when exhibiting at Excel.

Handing out leaflets or conducting business on the Excel campus, at the entrance to the event, in the aisles or any other part of the exhibition hall is only permitted with prior written consent. 

Exhibits must stay within the footprint of the stand. The stand must be staffed, and all exhibits must remain displayed during the hours that the exhibition is open to visitors. Publaicity notices and materials may only be displayed on and distributed from the exhibitor’s own stand. 

 

Damage to venue

Make sure exhibitors take care when working inside the venue.

Exhibitors should not fix, screw or drill into the venue walls or floors. If the building is damaged, the exhibitor will be charged for this through the official dilapidations process.  

No attempt must be made to undertake the repair independently of the dilapidations process.

 

Drone usage

Given our proximity to London City Airport it is important to understand the drone operating policy at Excel. 

All drone operations on the Excel London campus must be authorised in writing by the venue. 

If permission is granted, the requisite pilot credentials and insurance specifically for drone liabilities must be in place and valid at the time of the flight. 

 

Emergency protocol

Exhibitors can be prepared by reading the emergency procedures booklet.

The emergency procedures document contains important information and contact details for exhibitors to use in the case of an emergency. You can also link to our emergency procedures video. A copy of our emergency plan is available on request.

Filming and photography

Permission must be granted by Excel when photographing or filming on the Excel estate, which includes any part of the venue or surrounding areas.

Anyone wanting to film or photograph on the Excel estate must read the contents of this page www.excel.london/filming-photography-permits, and complete the application form for review. Please allow up to three working days for your application to be reviewed. Crew members may be asked by the Excel Security team to present this form, together with ID, when they are photographing or filming on-site.

Foliage

Plants, flowers and greenery that can be used on exhibition stands at Excel. 

No artificial plants and flowers may be used for dressing stands at Excel. Only real and silk-type flowers and leaves can be used. The silk-type must be clearly marked as conforming to BS 54387. 

 

Health & Safety

The health and safety of everyone that comes to the venue is our top priority.

Excel works to the industry best practice document for health and safety - the AEV eGuide. The document contains  guidance for achieving common standards for health, safety and operational planning, management and on-site conduct for events at all participating AEV member venues.

The guidance includes wearing a high visibility jacket and safety shoes for anyone attending the site during build and breakdown. 

Late working 
All contractors and exhibitors are reminded that they must design their stand to ensure it can be completed and dismantled within the published stand build-up and breakdown times. Working outside of these times is not permitted. 

On arrival at the venue, exhibitors and their contractor(s) should be issued with an emergency procedures guide, which they should read carefully.  It is recommended that these aspects should be communicated in advance of coming to sitee: 

  • On discovering a fire, break the glass on the nearest manual call point (coloured red), which are located adjacent to all exits, or contact the Security Suite by dialling 4444 on an internal telephone immediately or 020 7069 4444 from a mobile device  . 
  • Do not touch or move any suspicious or unattended item but report it to the Security Suite, by dialling 4444 on an internal telephone.   (Do not use a mobile device to report a suspicious item).
  • If an exhibitor stand is by, or on the route to an emergency exit, the aisle must be clear. Anything left there will be removed by the cleaning team. 

 

Personal property

Make sure exhibitors are vigilant with their personal property.

All personal and company property is left at the owners risk either in the venue or the car park. Excel is not responsibility for damage or loss of any properties belonging to exhibitors or their agents or contractors.  

Exhibitors should arrange their own insurance against all risks. The strongest possible precautions against theft should be taken at all times.
